Operating procedures
Review the AquaLedger starting text, customise it for this site where needed, and add a facility override only when one facility works differently.
A facility procedure overrides its facility-type procedure, which overrides the whole-site procedure. Each method is reviewed and versioned separately.
Existing whole-operation procedures
These remain available during staging comparison. They have not been replaced on the live site.
Platform defaults are starting templates for all sites. Only an AquaLedger super-admin can change them.
Season status
Close a facility during its off season. Opening records a commissioning event; record any shock treatment as a normal treatment entry after opening.
Total alkalinity
Total alkalinity shows how strongly the water resists pH change. It is optional on routine checks, but AquaLedger requires it when the site's scheduled or event-triggered full-chemistry check is due. UK PWTAG pool guidance uses 80–200 ppm as CaCO₃ and weekly testing. For hot tubs, HSG282 treats total alkalinity as a water-balance factor but does not prescribe a numerical range or universal interval; the configured schedule and targets form the site's risk-assessed testing programme.
Hot-tub readings outside the preferred range are advisory. Readings beyond the wider action limits require a response. Total alkalinity alone does not close a facility.
Additional chemistry checks
These checks are optional and hidden unless enabled. Cyanuric acid and combined chlorine are not shown for bromine-treated facilities.

The selected compliance profile controls jurisdiction-specific wording. AquaLedger uses the configured visitor and day thresholds for water-change prompts; set these to match the local rules and site procedure.
Shared fallback hours
Used only by hot tubs whose operating pattern is set to “Use shared fallback hours”.
Used to tell staff whether treatment can settle before opening, needs urgent retesting during use, or can rebalance overnight.
Operational reminder shown after dosing. Check the product label and site procedure if they specify a longer wait.
Use the default target and tolerance to flag readings that are materially off-temperature. Use your typical refill-water temperature so AquaLedger can estimate when a drained hot tub will be back up to service temperature.

Shared fallback hours
Used only by pools whose operating pattern is set to “Use shared fallback hours”.

Pool temperatures outside the configured target band are flagged as operational warnings in logs and exports.
Treatment products
Enable the products you actually keep on site, name each one as the exact product on the container, and set the dose guide from that product label so logs, learning, and live guidance match the stock used at the time.
Configure the Shock treatment product with the chemical name, unit, and label dose. Routine shock reminder frequency is set per hot tub in Hot tubs.
Critical alerts
Emails are for unresolved safety risks. A later recovery record resolves the alert; acknowledgement alone does not.
Alert rules
All alerts remain in the manager ledger. Untick Email to silence that immediate email type.
Manager reports
Every recipient receives the existing monthly report with CSV records and its analysis PDF. Choose whether they also receive a daily or weekly exception email; no exception email is sent when there is nothing to report.
Scheduled CSV reports run on the first day of each month and cover the previous full calendar month.

Admins always see Reports and Analysis.
Check schedules
Set each required check window. Enable a missed-check alert only where manager action is needed.
Data
Staging-only tool that replaces operational water entries with synthetic test data.
Deletes operational water entries while retaining setup history and configuration.

Sites
Platform-level site management for AquaLedger super-admins. Sites are archived rather than deleted so historical logs remain intact.
