Advanced setup stays tucked away during normal data entry.
User management
Manage AquaLedger access for this organisation. Removing access does not delete the underlying login account.
Wardens
Used for the data-entry selector, staff list, alerts, and exports.
Site profile
Set the site identity and learning mode used across all configured facilities.
Controls whether treatment cards can show learned comparisons. Background treatment history is still retained so learning can be enabled later.
PNG, JPEG, or WebP only. Maximum 1 MB, 96-2000 px on each side, square or near-square only.
Pool facilities
Configure each pool separately. Pool cards only show settings that can apply to pools.
Hot tub facilities
Configure each hot tub separately, including hot-tub-only shock, water-care, and lab assurance options.
Season status
Close a facility during its off season. Opening records a commissioning event; record any shock treatment as a normal treatment entry after opening.
Alkalinity
When enabled, alkalinity appears as an optional chemistry reading for both pools and hot tubs. Low readings can suggest the configured alkalinity increaser product.
Additional chemistry checks
These checks are optional and hidden unless enabled. Cyanuric acid and combined chlorine are not shown for bromine-treated facilities.
Hot tub defaults for new hot tubs
These defaults are fallbacks for hot tubs that do not set their own volume, operating times, temperatures, or filter setup. Facility-specific values can be set in Hot tubs.
UK HSG282 is a commercial spa-pool reference and may not apply to every site or country. AquaLedger uses the configured visitor and day thresholds for water-change prompts; set these to match the local rules and site procedure.
Used to tell staff whether treatment can settle before opening, needs urgent retesting during use, or can rebalance overnight.
Operational reminder shown after dosing. Check the product label and site procedure if they specify a longer wait.
Use the default target and tolerance to flag readings that are materially off-temperature. Use your typical refill-water temperature so AquaLedger can estimate when a drained hot tub will be back up to service temperature.
Pool defaults for new pools
Default pool volume is used for dosing recommendations. Facility-specific overrides can be set in Pools.
Used by the decision card to distinguish pre-opening, open-hours, and closing treatment windows.

Pool temperatures outside the configured target band are flagged as operational warnings in logs and exports.
Treatment products
Enable the products you actually keep on site, name each one as the exact product on the container, and set the dose guide from that product label so logs, learning, and live guidance match the stock used at the time.
Configure the Shock treatment product with the chemical name, unit, and label dose. Routine shock reminder frequency is set per hot tub in Hot tubs.
Monthly reports
Scheduled CSV reports run on the first day of each month and cover the previous full calendar month.

Admins always see Reports and Analysis.
Check reminders
Use reminder windows to track whether facility readings were completed on time, late, or missed.
Data
Super-admin tools for demo water entries and site log resets. Site setup, users, facilities, wardens, reminders, and report recipients are left intact.
Deletes water entries and setup history for this site, then resets filter and water-change dates.
Sites
Platform-level site management for AquaLedger super-admins. Sites are archived rather than deleted so historical logs remain intact.
